4.    Dinner Chairpersons Duties.

1 The Chairperson of the day is published in the "Scribe" and should also be notified and confirmed by the committee Chairperson.

2 The Chairperson shall contact the speaker before the meeting and :

a Obtain details for the introduction.

b Confirm the subject of the presentation.

c Offer to arrange transport.

d Inform speaker that maximum time for the presentation will be 20 minutes plus 5 minutes for questions.

3 On the meeting night the chairperson will:

a Be on hand to greet the speaker.

b Introduce the speaker to the President.

c Ensure that a gift is at hand.

d Arrange for a member to pass a vote of thanks.

e When the meeting is handed over by the Sergeant at Arms quickly introduce the speaker.

f At the conclusion of the address, introduce the member for the vote of thanks.

4 Hand the meeting back to the Sergeant by 8.00pm

5 Ensure that the speaker has return transport to his/ her destination and/or escort to vehicle.

6 Members passing the vote of thanks are requested not to recap the presentation in detail.

Good timing is everything.
